JOB SUMMARY
-
The primary duty of the Team Health Assistant is to provide the Team Health with operational assistance for both team health and occupational medicine. This includes but is not limited to typing, filing, copying, ordering and supplies, compiling and maintaining records, entering data into spreadsheets and portals, answering the telephone to direct calls to the appropriate team member and to assist internal customers and external customers with standard Team Health information such how to log into Track My Solutions, completion of online, complete consents, first reports of injuries, and compliance reporting. The Team Health assistant supports the team with scheduling appointments, documentation of meetings minutes, creating and maintaining dashboards, and spreadsheets. The Team Health Assistant also completes projects identified by the leadership of Team Health. The team health assistant will support the team with ongoing preparation for all Accreditation and Regulatory survey events and assistance with duties as assigned.

DUTIES AND ESSENTIAL FUNCTIONS

Performing clerical duties such as photocopying, faxing, mail distribution, and filing; Accurately and securely maintains employee health records; Creates various types of documentation using Microsoft Office

Overall performance rating of below indicated essential job duties:
-
Coordinates meetings or conference calls as needed; Schedules patients in Systoc or EPIC for appointments with the team health nurse or a provider; Answers phones in a timely manner using good customer service skills and judgement in the distribution of messages; Assist team members with Track My Solutions issues.

Run compliance reports for Team Health to present to regulatory and accreditation agencies.; Assist with projects as identified by Team Health Leadership; Ensures all supplies are ordered according to KDMC policy. Responsible to keep an inventory of all office supplies and placing replenishment orders in timely manner to ensure uninterrupted workflow.

Records minutes at meetings and archives them accordingly; Generates reports as directed by department standards and guidelines and distributes to the appropriate individuals according to department guidelines and as directed; Participates in rounding and data collection activities as assigned by Team Health practice manager/director.

Works any shift necessary for the adequate coverage of the department and additional hours if necessary; Understands and complies with work rules and safety regulations; Attends all KDMC mandatory training and guest relations programs.

Assists the team health with maintaining spreadsheets for reports of statistical data, PowerPoint presentations for specified meetings; Assists with facilitating communication and cooperation between team members throughout the Medical Center inpatient and outpatient departments; Attends meetings as designated by Team Health Director(s) or Occupational Medicine Practice Manager, is responsible for taking meeting minutes and distributing in a timely manner.

Conducts daily office duties in a professional and efficient manner.; Assists Team Health with entering patient information required in portals, online programs and dashboards.

Performs other related duties as assigned

Maintains strict confidentiality regarding all patient and team member health information and other private or sensitive information.

Minimum requirement:

- Associated Degree or equivalent combination of college and experience
- Strong organizational skills with ability to prioritize and multitask
- Exceptional communication and customer services skills
