Summary

  • JOB SUMMARY
    • The Physician Office Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical and insurance coding information is collected for the surgery schedule. Schedules office and hospital based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.  Interfaces with appropriate vendor staff to ensure all necessary equipment will be on site for office and hospital based procedures.
  • DUTIES AND ESSENTIAL FUNCTIONS
    • Completes accurate documentation of informed consent with patients for procedures and surgeries as needed. Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
    • Overall performance rating of below indicated essential job duties:
    • Confirms patient’s insurance provider and either obtain prior authorization or communicates need for prior authorization to appropriate parties as needed.
    • Reviews surgery schedule for following day and communicates with hospital surgery schedulers to confirm correct patient and procedure, correct time/order, correct site/side, implants and equipment as stated in the Universal Protocol; verifies correct patient and procedure with office procedure schedule; demonstrates good judgment and analytical ability in retrieving special  reports and analysis  for review.
    • Responds to requests for information from other departments, hospital administration and case management, and hospital surgery schedulers; refers scheduling conflicts to the office manager
    • Communicates with surgeons, department of anesthesiology, charge nurses, special procedure units/staff, hospital surgery schedulers, case management, nursing units and ancillary departments; demonstrates competency in scheduling surgical procedures for infant, pediatric, adolescent, adult and geriatric patients
    • Verifies Pre-Admission Testing order for the correct patient, correct information, correct procedure, laterality, necessary implants/equipment, ICD-10 code/diagnosis, CPT codes, and accurate physician signature along with date and time. 
  • EDUCATION/LICENSE/CERTIFICATION/OTHER REQUIREMENTS
    • Minimum requirement:
      • High school diploma or general education degree (GED)
      • Types 50 CWPM
      • 80% on Medical Terminology Exam
    • Preferred qualifications:
      • Knowledge of surgical anatomy, physiology and operative technique as it relates to the surgical procedures

    • Works indoors in an office/clinic setting
    • The noise level is usually moderate

    • Constantly required to maintain a stationary position behind a computer.
    • Frequently required to move about inside the department.

    • Constantly required to operate a computer and telephone.
    • Constantly required to lift and/or move up to 10 pounds.
    • Frequently required to lift and/or move up to 25 pounds.
    • Occasionally required to lift and/or move up to 50 pounds
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception
