Summary

  • JOB SUMMARY
    • Responsible for customer flow and assisting the Practice Manager with daily activities and projects as well as providing leadership for registration and scheduling processes. Provides leadership and direction for assigned team; managing daily support operations and patient flow. Administers practice policies and procedures in a consistent and timely manner; Coordinates staff scheduling and cross training of duties.
  • DUTIES AND ESSENTIAL FUNCTIONS
    • Serves as a point of contact for operational issues and maintains open lines of communication; Relays constant communication and feedback to office team; Assists with performance evaluations by providing input on behavioral and performance issues and achievements of team; Assists with disciplinary and counseling Issues with team when appropriate; Assists with recruiting, interviewing and hiring of support team.
    • Overall performance rating of below indicated essential job duties:
    • Demonstrates the initiative to meet the needs of the department by assisting co-workers when workload permits; Approves and signs off on time sheets and PTO requests; Works with team to ensure that patients are treated with respect and courtesy and are properly scheduled to maintain an orderly flow within the office.
    • Ensures that proper patient care issues are addressed, along with proper customer service techniques and expectations; Reviews and updates as necessary physician office schedules allowing for time off or changes in scheduling in coordination with Practice Manager; Communicates such changes to team members.
    • Ensures that office space, supplies, equipment and assistance are provided and maintained appropriately for team and patient care; Ensures proper functioning of equipment and appropriate; safety checks; Monitors and assures compliance of providers licensure, certification, liability insurance and DEA numbers maintaining documentation as required by regulatory agencies to include but not limited to State, Joint Commission, OSHA, Medicare, Medicaid and third party payee.
    • Works with Practice Manager to assure office remains in compliance with state and federal agencies; Participates in professional development activities to remain current with health care trends and practices; Provides proper and appropriate leadership to team members in clinics; Recognize and utilize opportunities to develop existing staff; Conduct office meetings on a regular basis
  • EDUCATION/LICENSE/CERTIFICATION/OTHER REQUIREMENTS
    • Minimum requirement:
      • High school diploma or GED
      • Minimum two years of administrative/supervisory experience, including one year with a health care organization.
    • Preferred qualifications:
      • Associate’s Degree
  • WORKING ENVIRONMENT
    • Works indoors in an office/clinic setting
    • The noise level is usually moderate

    • Constantly required to maintain a stationary position behind a computer.
    • Frequently required to move about inside the department.
    • Constantly required to communicate telephonically and face to face with colleagues and customers.
    • Constantly required to operate a computer and telephone.
    • Constantly required to lift and/or move up to 10 pounds.
    • Frequently required to lift and/or move up to 25 pounds.
    • Occasionally required to lift and/or move up to 50 pounds
