Summary

  • JOB SUMMARY
    • Performs and provides personal secretarial, clinical and administrative support services such as preparing final correspondence, compiling statistical reports, maintaining official corporation records. Supervises office assistant staff for the department. Coordinates interior and exterior environments of the Medical Center by performing the following duties.
  • DUTIES AND ESSENTIAL FUNCTIONS 
    • Overall performance rating of below indicated essential job duties:
    • Schedules interviews and appointments and performs other duties related to maintaining Director’s schedule. 
    • Engages in a variety of contacts outside the Medical Center in order to obtain or related information, arrange meetings, etc. 
    • Supervises office assistant in regard to all clerical duties including the maintenance of all departmental and construction related files, correspondence and other records.
    • Compiles statistical reports and tracks all costs related to construction projects. Maintains confidentiality regarding administrative matters. 
    • Confers with department director and outside design consultants to determine preferences, purpose and function of environment, budget, and other factors that affect planning interior environments.
    • Confers with department directors and outside design consultants on interior design factors such as space planning, layout and utilization of furnishings and equipment, color schemes, and color coordination. 
    • Schedules and attends meetings with department directors and outside design consultants to show renderings of ideas and estimates of material costs for approval. 
    • Tracks and assists outside design consultant with the subcontracting, fabrication, installation and arrangement of carpeting, fixtures, accessories, draperies, paint and wall coverings, art work, furniture, re-upholstering needs and other related items. 
    • Coordinates and creates with aid of outside consultant, all interior signage needs throughout the Medical Center. 
    • Works any position necessary for the adequate coverage of the department.
  • EDUCATION/LICENSE/ CERTIFICATIONS/OTHER REQUIREMENTS
    • Minimum requirement:
      • Associates degree in management, engineering or a related field or equivalent from an accredited college, plus 2 years or more years of applicable experience and/or training; or equivalent combination of education and experience.
      • Experience in working with a unionized workforce is desired, in addition to working within the parameters of an organized labor contract.
    • Preferred qualifications:
  • WORKING ENVIRONMENT
    • This job operates in a professional office environment routinely using standard office equipment such as computers.
    • Occasionally requires travel to and from off-site locations
    • The noise level in this position is usually low.
  • PHYSICAL DEMANDS
    • Frequently required to maintain a stationary position behind a computer or while presenting to individuals or groups.
    • Frequently required to move about throughout the Medical Center or while rounding.
    • Constantly required to communicate with people electronically, telephonically and in-person requiring talking and hearing.
    • Constantly required to operate a computer and telephone.
    • Constantly required to lift and/or move up to 15 pounds.
    • Frequently required to lift and/or move up to 25 pounds.
    • Occasionally required to lift and/or move up to 50 pounds.
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception.
